Using the GT-EX Booking System


Welcome to GT-EX's booking system. On this page you'll find information on how to use the different parts of the booking system and some helpful hints. Click each of the headings to expand.

Signing In


Log into the GTEX Customer Portal from: www.gtex.com.au
You will have been given a User Account and Password or one will have been created for you.

If you don't have a User Account and Password, you can start here

Once you have logged into the Customer Portal, you will be at this screen

This is your HOME Customer Page. From here you can:

1: Manage your Address Book
2: Book your Shipment
3: Check the status of previously booked jobs
4: Order your packaging supplies
5: Send a message to GTEX
6: Find out important and helpful information about shipping with GTEX

Using the Address Book


Although you don't have to enter your addresses into the Address Book before you start booking shipments, it is helpful to manage your addresses making sure the right information is held in your system. From the Manage menu on your home page, select Address Book

This is your Address Book page. From here you can:

1: Delete unused addresses (note, if a shipment is still 'live' in our system, you won't be able to delete the address)
2: Modify addresses you currently have in your Address Book
3: Add new addresses to your Address Book.

How do I modify an address?

You will note that the first two columns of your addresses are underlined
(The 'Short Name' and 'Person' columns). This means that you can open that address just by clicking on either the, Short Name or the Person you want to modify.

When you select one of these links, the following window will appear

What is the Short Name?

A short name is a way of organising your Address Book in order. This is your way of identifying different locations quickly. Some examples of a short name may be NSW2060 or JoeHome or MEL_HQ

The way you use your short name is entirely up to you.

Helpful Tips

For addresses you use frequently, add a number eg. 1,2,3 etc to the short name and they will appear at the top of the list.

For your own name or main sending point, add a space bar character (blank) at the beginning of the name and it will always be on top)

Don't forget the phone number of the address and also remember to select the right country, town and postal code.


Now that you know how to manage your Address Book, you are ready to start booking your shipments.

Booking your Shipment


From the Home Customer Page, there are two ways to book your shipment.

Express Booking

The first way is to use Express Booking. You will find this at the top of the screen, along the black menu bar.

Selecting this will take you straight to the Express Booking screen

The Express Booking screen has all the required information on the one page. This is especially useful for booking a large number of jobs in the one session.

You will need to have entered your addresses in your Address Book (or used them on an earlier booking)

Helpful Tips

Don't have scales or an accurate weight of your shipment? Don't worry, all shipments above the minimum weight are checkweighed at our service centres for accuracy.

The Your Reference field is an ideal place to put your job number, invoice number or just a mental note regarding the shipment. This information will appear on your invoice/statement page for easy reference.


Book Shipment

The Book Shipment procedure is the same as the Express Booking procedure however when you use Book Shipment, each step is on a separate page than the last and you can add addresses to your Address Book during the procedure. This is especially useful when you are shipping to new places or to places that you may not need to ship to again.

You will also need to use the Book Shipment procedure if you want to add a new sender into your customer profile

You will find Book Shipment on the top menu bar, right next to Express Booking

Step 1
The first thing you will notice is that the system is asking who is requesting this service. This is the person or department that owns the shipment and who will receive the shipment information (if requested)

If the sender has been used before, you will be able to use it again by selecting from the drop down box. If the sender is new, you can enter it here.

Do you already have a consignment note or label?

Generally the answer will be no unless you have been given a unique set of numbers by GTEX or you are in receipt of a promotional label from GTEX.

Where is the shipment being picked up from?

Select this location from your Address Book or enter a new address.
(Tip: Don't save this address if you don't expect to send there again.)

Where is the shipment being sent to?

This is a repeat of Step 3. This is where you are sending your shipment to...

Onto Step 5 of 7
What's in the shipment?

This is where you tell us the number of items and the weight of your shipment. If it is being sent to an International Address, you will be asked for additional information about the contents of overseas shipments.

What service level do you require?

Tell us how you want the shipment sent. For information about the service levels that are offered by GTEX, visit Our Services page.

Insurance is available in certain circumstances. Please contact GTEX if you wish to discuss your insurance options.

When can we pick it up?

In this final page, you tell us the time it is ready, add a reference for your own use and tell us anything else about the shipment that might be useful or helpful.

And finally we ask you to check that you accept our conditions of carriage and the information supplied in your booking is correct. Once that is done, your are ready to book your shipment.

Once you have booked your shipment, you will see the following screen.

Here you will see all the information about your shipment. You can also print your documentation from here, such as, the consignment note, the label (if you are using a label printer) and the Proforma and Shipping Declaration ( if you are shipping other than documents overseas)

Helpful Tip

You will need to print a Proforma for overseas shipments other than documents and add it with your Consignment Note into the shipping envelope (on the outside of your package)
